Student records

The Australian Skills Quality Authority (ASQA) is the national regulator for Australia’s vocational education and training (VET) sector. We don’t have a register of all qualifications and competencies issued by Registered Training Organisations (RTOs), but we do collect records from providers who stop being an RTO.

 

Before checking student records held by ASQA

  1. Have you checked with the USI transcript service?
  2. Identify your provider
  3. Check your provider’s registration status
  4. Check if your provider’s regulator holds their student records
  5. Confirm my provider was registered with ASQA and is now closed

 

1.  Have you checked with the USI transcript service?

The Unique Student Identifier (USI) transcript service may hold a copy of your student records if:

  • you completed your training after January 2015
  • you provided your USI to your provider.
Check to see if your records are held by the national USI transcript service.

 

If you’ve completed nationally recognised training with an RTO, we may hold your records if:

  • your provider was regulated by us, and
  • your provider is no longer registered, and
  • we received records when the provider closed.

  

2.  Identify your provider

You need to know the name of your training provider to begin a search for records. You can search the national register at training.gov.au using their RTO number, ABN or business name. If you can’t remember who you studied with, you may be able to find details such as a legal or business name, an ‘RTO’ number, ABN or other identifying information in your records of enrolment, coursework or emails.

If you are unable to identify your training provider, ASQA will not be able to assist you in your search for your records. Please see I am unable to find my student records or provider for guidance on your next steps. 

 

My provider isn’t listed, what can I do?
If your former training provider is not listed on the national register, it is possible that the organisation was not an RTO and the training was not nationally recognised. In this case, records may be held by the provider.

 

3.  Check your provider’s registration status

RTOs which are currently registered are required to hold student records for a minimum of 30 years. If you did your training with a current RTO , you should contact them directly for a copy of your certificate or records.

 

My training provider is closing, what do I do?
If your training provider has advised they are closing or are currently in administration or liquidation, we do not have a copy of your records. 

We do not receive student record information until after the provider status changes to cancelled, non-current or withdrawn. 

You need to contact your training provider or the appointed administrator or liquidator directly for a copy of your records. Please visit our Provider closures web page for more information about what to do when your provider closes.

 

4.  Check if your provider’s regulator holds their student records

When RTOs deregister, they are required to submit their student records to their regulator. Search the national register for your provider and check the ‘exerciser’ on the registration tab to find their regulator.

If the regulator is ASQA or a former state regulator, e.g. the ACT Accreditation and Registration Council, we may hold your records.

 

My provider was registered with the Training Accreditation Council of Western Australia (WA TAC) or the Victorian Registration and Qualifications Authority (VRQA), what do I do?

If your provider was regulated by either WA - Training Accreditation Council  or VRQA, you can contact the relevant regulator directly for a copy of your records.

 

5.  I have confirmed my provider was registered with ASQA and is now closed

Providers are required give us their students’ records when they close. If we have records from a provider you studied with, we can provide a letter and transcript of those records.

Before submitting a request please check our list of closed RTOs who have provided ASQA with student records.

Please be aware:

  • Some providers do not supply ASQA with records upon closure. We try all avenues to collect records and penalise providers who don’t comply, but are not always successful in securing records.
  • Some records are incomplete, despite our best efforts. We can only supply a copy of records we receive from a provider directly.
  • Some state and territory training regulators operating before 2011 did not collect records from closed training providers. We cannot retrieve records which weren’t collected.
