How we assess your registration renewal

ASQA takes a risk-management approach when we evaluate registration renewal applications.

We use a structured process to assess applications and ensure they meet all the requirements for continued registration before we make a decision to approve or reject renewal.

Renewal timeframe

If you provide a complete registration renewal application at least 90 days before your registration expiry date, and have paid all applicable fees in full, your RTO’s registration will continue until we reach our decision on the application.

ASQA completes the majority of renewal applications prior to expiry, in line with our service standards.

The renewal assessment process

Risk assessment

Once we have received a renewal of registration application, we check that:

  • you have provided all necessary information and evidence
  • your nominated personnel meet the Fit and Proper Person Requirements (which, as of 2025, are part of the Compliance Requirements)

Providing the application is found to be complete, we make an initial assessment which considers:

  • the evidence you provide in your application
  • your scope of registration
  • your provider profile and compliance history
  • any other relevant information we hold. 

If our initial assessment identifies renewal has the potential to pose a risk to quality training outcomes, we decide whether to apply scrutiny through evidence review or performance assessment in response to that risk.

Renewal decision

Once we have completed our assessment, including any evidence review or performance assessment, we will notify you of our decision in writing. You will receive this notification within 30 days of the decision.

If we approve your renewal application, we will issue you:

  • a current certificate of registration (for RTO registration)
  • a letter detailing your registration period, and
  • any specific conditions which we have applied to your registration (for both RTO and CRICOS registration).

If we reject your application, we will state the reasons for this decision.

Under Sections 199 to 203 of the National Vocational Education and Training Regulator Act 2011, certain kinds of ASQA decisions are reviewable.
